Employee Offboarding Checklist

Capture knowledge and handover context automatically when someone leaves, so the next person does not start from scratch.

The problem

When someone leaves, the company loses more than a person. They lose the knowledge that person carried.

Which customers they were managing. Which suppliers they had relationships with. Which orders were in progress. Which tasks were left unfinished.

The standard response is to ask the person to write everything down before they leave. Sometimes this happens. Often it does not. And even when it does, the document sits somewhere and nobody knows where to find it.

The next person starts from close to zero. It takes weeks or months before they are fully up to speed. During that time things slip.

How it works

When a departure is confirmed, a workflow starts automatically:

Open tasks assigned to that person are pulled from the system and listed
Active customer contacts and ongoing orders are identified
Supplier relationships and communication history are extracted
A structured handover document is generated and shared with the relevant manager

The document gives the next person a clear starting point instead of a blank page.

The exact implementation depends on the tools your company uses. If your data lives in a CRM, Outlook, Excel, an ERP, or a shared folder, it can be connected.

What changes

Offboarding becomes a process, not a scramble. The knowledge that used to live in one person's head is captured automatically before they walk out the door. The next person starts from a documented baseline.

Tools used

Connects to your existing task management, email, and spreadsheet tools. Output is a structured document in Word or a shared folder. No new software required.
