Maintenance Reminder Bot

Concept for automating routine maintenance reminders and scheduling so service intervals are not missed when operations get busy.

The problem

Every workshop knows the moment. A machine breaks down because maintenance was delayed. Production stops for hours, sometimes days. Not because the maintenance was complicated, but because nobody remembered it was due.

Tracking machine service intervals manually in a spreadsheet or on sticky notes works until it does not. When things get busy, maintenance gets pushed. The cost of a missed service interval is always higher than the service itself.

How it works

The bot reads your machine hours log every morning. This can be a simple spreadsheet that operators update manually or a file exported automatically from your machines.

When a machine reaches its service interval, three things happen automatically:

An email goes out to the responsible technician listing the machine, current hours, and the service checklist
A calendar slot is booked for the maintenance appointment
A notification is sent via email, WhatsApp, or Microsoft Teams

When the technician confirms the service is done, the maintenance log updates automatically. The next interval starts from that point.

What changes

No one needs to remember when a machine is due for service. The process runs every morning in the background. Missed intervals become rare. Unplanned downtime and emergency repair costs go down.

Works with a simple spreadsheet for machine hours tracking. Connects to Outlook calendar and email. Optional notifications via WhatsApp or Microsoft Teams. No specialist maintenance software required.
